Vouchers, both sides

A voucher from creation to redemption: what the business does and what the customer does at each step.

1. The business creates the voucher

Business. In the vendor panel (my.xquare.net), open Growth > Vouchers, select Create voucher and go through the three steps: Create voucher (title, type, value, price, dates), Rules & scope (where and when the voucher can be used, and its terms) and Publish. Step by step: Create a voucher.

Customer. Nothing yet. Once the voucher is published, it is on the Deals tab of the business's Space page on xquare.net.

2. The customer gets the voucher

There are two ways.

Online.

  • Customer. Opens the Space page, the Deals tab, then Details on the voucher, and selects Buy for (with the price). They sign in if they have not, and pay on our payment partner's secure page. The page they come back to says Your voucher is ready, usually with the voucher code. The voucher is now in My Vouchers. On some Space designs, such as restaurants and cafes, the buttons read View detail and Buy now.
  • Business. Nothing to do. The sale is counted on the voucher dashboard.

At the counter.

  • Business. Staff open Frontdesk > Sell, choose the voucher, select Record sale and take payment at the till. The list shows only vouchers on sale now and, if there is a limit, how many are left; counter sales count toward that limit. The screen shows the voucher code; staff give it to the customer.
  • Customer. Keeps the code. A voucher bought at the counter is not added to their xquare account.

Step by step: Sell vouchers.

3. The customer uses the voucher

  • Customer. Opens Vouchers in their account menu (My Vouchers on a phone) and taps Redeem on the voucher. A QR code appears, with Show this QR to the cashier and the code underneath. A customer who bought at the counter shows their code instead.
  • Business, on a phone. Staff tap Scan, scan the QR code (or type the code), apply the discount in the till and tap Applied in POS. The redemption confirms itself after a short countdown while the screen stays open, or straight away with Confirm now. Until then, Void undoes a mistake.
  • Business, on a computer. Staff open Frontdesk > Redeem, type the code and select Redeem.

A voucher can be used all day on its last valid date, until 23:59 WIB. If the voucher cannot be used (expired, fully used, not valid today or at this outlet), staff see the reason and the voucher is not used. Step by step: Redeem a voucher at the counter.

4. After the visit

  • Customer. A single-use voucher moves to the Redeemed tab of My Vouchers. A Visit Pass stays active until every use is taken, and shows how many have been used.
  • Business. The voucher dashboard counts the redemption, and the voucher's detail page shows the use against its code. See Track voucher results.
