Redeem a voucher at the counter
When a customer comes in to use a voucher, staff check it and mark it as used. You can do this on a phone with the camera, or on a computer by typing the code.
- A customer who bought online shows a QR code from My Vouchers in their xquare account. The voucher code is printed under the QR code.
- A customer who bought at your counter has the voucher code you gave them.
Before you start
- Staff need a role that can redeem vouchers. On a computer, Redeem then appears under Frontdesk in the side menu; on a phone, Scan appears in the bottom bar.
- If you work at more than one outlet, redeem at the outlet where the customer is. A voucher limited to other outlets is refused.
On a phone
On a phone, my.xquare.net opens the phone view of the vendor panel. The phone flow lets you apply the discount in your till before the redemption is final, and undo it if you made a mistake.
- Sign in at my.xquare.net on your phone and tap Scan in the bottom bar. The Scan code screen opens.
- If you are asked to Select outlet, tap the outlet you are at. The outlet then shows at the top of the screen; tap it to change outlet.
- Tap Start camera and point the camera at the customer's QR code. If the camera does not work, type the code under Or type the code and tap Look up. Type the code as the customer shows it.
- A valid voucher shows VALID with its value, and a CASHIER INSTRUCTION, for example to apply the voucher's discount in your till.
- Apply the discount in your till, then tap Applied in POS. To stop without redeeming, tap Cancel.
- A countdown starts (Auto-confirm in). Tap Confirm now, or let the countdown finish and the redemption confirms itself. Keep the screen open until it shows Redemption applied.
- If you made a mistake, tap Void before it confirms. The voucher is not used and can be scanned again.
- The screen shows Redemption applied (or Voided). Tap Scan next for the next customer.
Phone: the Scan code screen showing VALID, the cashier instruction and the Applied in POS button.
On a computer
- If you work at more than one outlet, choose your outlet under Active Context in the side menu.
- Open Frontdesk > Redeem.
- Under Scan or type a code, type the voucher code and select Redeem (or press Enter).
- A valid voucher is redeemed straight away: there is no confirm step on the computer, so check the code before you press Redeem. The result shows VOUCHER, the code, the voucher title and Redeemed.
The same screen also checks in bookings and event tickets.
Desktop: Frontdesk > Redeem with a redeemed voucher.
If it fails
A voucher that cannot be used shows the reason instead. The usual ones (wording on the computer; the phone shows a similar message):
- Code not found: check the code. A code from another business is not found either; the phone says the voucher does not belong to your business.
- Expired or Not valid yet: today is outside the voucher's validity dates. A voucher can be used all day on its Valid until date, until 23:59 WIB, and is refused as expired from the next day.
- Not valid today or Not valid today — blockout date: the voucher is limited to certain days, or today is a blocked date.
- Not valid at this location (or Not valid at this outlet): the voucher is limited to other outlets.
- Fully redeemed — no uses left: every use has been taken. On a Visit Pass, the customer's My Vouchers shows how many uses have been taken.
- This pass is for securing a booking only, not for the counter (the phone says This pass can only be used to secure a booking, not at the point of sale): the Visit Pass has only the Booking / reservation channel on, so it can only be used when booking.
Do not redeem the voucher some other way. If the customer thinks the voucher should work, check it on the voucher's detail page under Growth > Vouchers, or ask the owner of your account.
Next
- Track voucher results.
- Vouchers, both sides: what the customer sees at each step.
