Create a voucher
A voucher is something your customer buys now and uses later at your business, for example a spa treatment or a five-visit pass. You create it once in the vendor panel (my.xquare.net) and then sell as many as you like, online and at your counter.
Before you start
- Your plan includes vouchers. If Vouchers under Growth in the side menu carries an UPGRADE label, your plan does not include it. Compare plans at www.xquare.net/pricing. If the row is missing, your role does not include vouchers.
- Your role can manage vouchers. If you can open the dashboard but there is no Create voucher button, your role cannot create vouchers. Ask the owner of your account.
- Your Space and its outlets are set up, so you can choose where the voucher can be used. See Getting started.
- Payouts are set up, so the money from online sales can reach you. See Payouts and fees.
Choose a voucher type
The wizard offers two types. You cannot change the type after you create the voucher.
- Coupon: each purchase is one voucher code, used once. Good for a one-time deal, such as "Weekend Brunch Deal".
- Visit Pass: one code that can be used several times, for example a pass for five visits. You set the number of uses.
Create the voucher
The wizard has three steps: Create voucher, Rules & scope and Publish. Its right-hand panel shows a summary of the voucher as you fill it in.
Step 1: Create voucher
- In the side menu, open Growth > Vouchers. The Voucher dashboard opens.
- Select Create voucher.
- Under Voucher details, enter a Title and a Description of what the customer gets.
- Optional: under Voucher image, select Upload image and choose a JPG, PNG or WebP picture.
- Under Voucher type, select Coupon or Visit Pass.
- Leave For engagement purposes (prize only) and For sponsored product switched off for a voucher you want to sell. A prize-only voucher is never sold and is hidden from your Space page.
- Enter the Nominal value (full price): what the voucher is worth at your business.
- Enter the Selling price (discounted): what the customer pays. It must be more than zero and cannot be higher than the nominal value. The field shows the discount this gives.
- Under Validity, set Valid from (when the voucher becomes available) and Valid until (the last day it can be used), if you want them. As the field's hint says, the voucher is usable until 23:59 WIB on this date: customers can buy it and use it all day on that date, in Jakarta time. Leave both empty for a voucher with no start or end date.
- For a Visit Pass, enter Uses per voucher, for example 5 for a five-visit pass.
- Optional: enter Total vouchers available to cap how many can be sold. Vouchers sold at your counter count toward it. Leave it empty for no limit. See Limits.
- Select Next.
Desktop: the Create voucher step with the voucher type cards and the price fields.
Step 2: Rules & scope
- Under Space, choose the Space where the voucher can be used. Leave it empty to allow all your locations.
- If you have sub-brands, choose them under Sub-brands, or leave it empty to allow every sub-brand.
- If the Space has more than one outlet, Outlet scope appears. Keep All outlets, or select the outlets where the voucher is valid. Staff at any other outlet are told the voucher is not valid there.
- For a Visit Pass, choose the Redemption channels: Cashier / order (scanned at your counter) and Booking / reservation (used when the customer books). Turn a channel on or off with the switch at the end of its row. A Coupon is always redeemed at the counter.
- Under Day & date restrictions, in Day Restrictions, select the days of the week the voucher can be used, for example Mon to Fri for a weekday deal. Leave all days unselected for a voucher that is valid every day.
- In Blocked Dates, pick a date under Add date and select Add for each date the voucher cannot be used, such as a closure. Add Public Holidays adds the upcoming public holidays; check the list before you continue.
- Under Terms & conditions, write any rules, for example "Valid for dine-in only. Cannot be combined with other offers."
- Select Next.
If you chose a Space that has no outlet yet, the wizard tells you so. Add an outlet first, or clear the Space.
Desktop: the Rules & scope step with the outlet scope and day restrictions.
Step 3: Publish
- The Affiliate commission section is optional. Leave Enable affiliate commission off unless you work with affiliates.
- Select Publish to put the voucher on sale.
You return to the Voucher dashboard, and the new voucher is in the list.
What your customer sees
A published voucher appears on the Deals tab of your Space page on xquare.net, with its price, the saving against the nominal value, its validity dates, and the days and dates it is not valid. The customer selects Details to read the full description and buy it. On some Space designs, such as restaurants and cafes, the buttons read View detail and Buy now instead.
Change a voucher
- Open Growth > Vouchers and select the voucher in the list. Its detail page opens.
- Select Edit.
- Select Next to move through the steps, and change what you need under Details, Validity, Restrictions and Redemption.
- On the last step, select Save changes.
The voucher type and the nominal value cannot be changed after you create the voucher.
Next
- Sell vouchers, online and at your counter.
- Redeem a voucher at the counter.
- Track voucher results.
